- What's behind the services of LIBDOC (final theses, publications, university bibliography)?

LIBDOC combines the three services mentioned above, which all lead to bibliographic entries and in some cases full texts on LIBDOC:
- students record their final theses here (partially with full texts)
- lecturers and researchers of the University of Applied Sciences can publish scientific works fast and straightforwardly here
- We're working on a university bibliography in LIBDOC which encompasses the publications of affiliates of our university since 2022
These FAQ provide you with information and advice for using LIBDOC and its services. - What's a document in LIBDOC and how can I search for it?

A Document in LIBDOC means a reference of a final thesis or of a publication. The fastest way to search for documents in LIBDOC is the Simple Search. You can access the Simple Search via the Home Page and on a separate page.
Below the field for the Simple Search, you also have the opportunity to access the Advanced Search; thereby you can configure your search more individually. Furthermore, you can have all documents included in LIBDOC displayed, or otherwise only the latest documents. If you would like to have all documents of a specific category displayed go to the tab Browse.
Note: When a document in LIBDOC is findable it doesn't necessarily mean that it's full text is available (see below)! To learn how you can find final theses, publications OR the university bibliography specifically, go to the concerning sections of this FAQ. - Hints for searching

Boolean Operators AND, OR, NOT
When you use the Simple Search, all terms are combined by AND automatically. For a more tightly focused search you may use the Boolean Operators to combine different search terms.
AND: The document has to contain all search terms.
OR: The document has to contain one of the search terms. This function broadens your search and is recommended, when there are different terms for the same meaning.
article OR paper
NOT: This function works excluding and might be useful to reduce a large result list: Documents, which contain the one term, may not contain the other.
article NOT paper
The Boolean Operators work for the Advanced Search as well. You may use them to combine different search terms within one search field. For example, to search for documents of the author "Doe" in the years 2002 or 2003, use the query:
Author: Doe
Year: 2002 OR 2003Wildcards
In the field 'Search:', you may use the symbols '*' and '?' as wildcards. Use them in place of a character or characters that are unknown or that may differ. You cannot use them in front of a word or search string.
Example 1: chemi* finds chemical but also chemistry or chemist.
Example 2: licen?e finds licence and license.
You may use double quotes (") to search for phrases.
- Am I required to report and upload my final thesis in LIBDOC

In general, you are required to report your final thesis in LIBDOC; however, it depends on the requirements of your faculty. If you can't find an answer on the pages of your faculty, reach out to the responsible person in your faculty.
- How do I report and upload my final thesis in LIBDOC?

In order to report and possibly upload your final thesis go to the tab Publish on the home page and fill out the formula. Above each field, an explanation beside a question mark explains what to do in case you're uncertain. The filling of some fields is mandatory. In case you forget to fill in a mandatory field you will be reminded as soon as you try to proceed to the next page.
Page 1: Choose document type and file: Choose your document type first (Bachelor Thesis, Master Thesis, Diploma Thesis). You can upload your thesis on this page as well. In order to proceed, you are required to agree to the legal notices at the end of the page.
Page 2: This is the actual formula. Here, several data concerning your thesis are requested, the so-called metadata. These serve for the description of the document in catalogues and other bibliographic registers - in this case, of course, primarily for reference in LIBDOC. Describe the document you want to hand in according to the given categories. Provide your data as accurately as possible. Examples for requested data are:
- your name and your e-mail address
- the Language of your document (to be chosen from a list)
- the Title of your thesis and the language of the title
- the Abstract (a short description of your thesis)
- the Date of Publication of the document (the day on which you report it)
In case you would like to allow people to contact you concerning your thesis later on, it is recommended to state your private e-mail address: later on, you will not have access to your University address anymore.
Page 3: Here, you have the opportunity to check your provided data. You have three options at this point: You can abort the process, you can correct the data concerning your document ("Change entries") or save the document immediately. Saving the document leads to sending it. This does not mean that it gets unlocked publicly in LIBDOC!
Cookies must be allowed in your browser for you to be able to report documents in the publishing formula. - I filled in the form "Publish", checked it and sent it. What now?

After sending the form you will receive an automatically generated e-mail from LIBDOC (libdoc@fh-zwickau.de). This e-mail has a declaration of consent in PDF format attached and it contains instructions for the last formal steps in the process. After signing the declaration of consent, you usually hand it in at your faculty along with your thesis so that your supervisor(s) can sign the form as well. We will check your document in LIBDOC after the faculty has forwarded the signed declaration of consent to us; if all the given data is correct, we will unlock the document and make it visible in LIBDOC.
If you should encounter problems concerning the form, don't hesitate to turn to libdoc@fh-zwickau.de or via phone or in person to the University Library for help. - How can I find final theses in LIBDOC?

The majority of all documents in LIBDOC are theses. Once you have started a search, you will find the option to filter the search results to the left of the search results. To filter out all theses in your search, select No under Is part of the Bibliography (example: theses filtered from all documents). Alternatively, you can restrict your search to bachelor's, master's, or diploma theses under Document type.
- How can I access the text of a thesis if the author has not uploaded it?

You have a chance to access the text if the author allows contact and has provided an e-mail address (on the right in the entry for the document under Additional services). You can use this address to ask whether they will grant you access.
- What advantages are there for me when publishing in LIBDOC?

As the university's own publication server and repository, LIBDOC offers you the opportunity to publish smaller scientific works and working papers quickly and unbureaucratically at the WHZ. The publications can be found in library catalogs and search engines worldwide and, as Open Access publications, can be freely read and downloaded by anyone; depending on the license, they are also distributable and editable. If you allow contact, you would also be offering an opportunity for discussion and networking for interested parties.
- Am I eligible to publish in LIBDOC?

If at least one author of your publication is active in research and/or teaching at the WHZ, publication on LIBDOC is possible for you.
- What do I need to do if I would like to publish scientifically on LIBDOC?

First, click on the tab Publish above the home page and fill out the form. This works similarly to how the reporting of theses (see above) works, minus the aspects specific to curricular studies. Do not forget to upload your file (in PDF format) on the first page and to write an abstract.
The license with which you define your copyright is a mandatory field. This license allows you to determine the conditions under which your work may be redistributed and edited. You can find more information on this below. - Is self-archiving (green open access) possible on LIBDOC?

Yes, you can also submit preprints and postprints to us for publication.
Please note, though, that we cannot bear any responsibility for the legality of your secondary publication. With the declaration of consent, you sign that you are aware of and comply with the copyrights pertaining to your publication. - Can my publication in LIBDOC be provided with a DOI?

Yes, simply contact the LIBDOC team by e-mail during the publication process. We will create the DOI for you. We will release the DOI at around the same time as your publication so that it leads to the LIBDOC entry for your publication when used as an Internet address. We can also add the DOI to your full text or cover page if you wish.
- How can I find LIBDOC-published articles by members and affiliates of the WHZ?

In order to browse for publications published on LIBDOC, proceed as follows:
Go to the tab Browse at the top of the home page and click on LIBDOC-published (WHZ). You will then be shown all publications that WHZ members have published in LIBDOC. Here you can directly see all scientific articles published on LIBDOC. - What are the criteria for the inclusion of a publication in the university bibliography?

- publications with scientific content, e.g. journal articles (including pre- and postprints), monographs, book chapters, edited volumes, contributions to edited volumes, conference papers, research reports, studies
- at least one author/editor was working at the WHZ at the time of publication
- scientific works that are published on LIBDOC anyway - How do I find the entries for WHZ publications?

In order to search for publications of the university bibliography you can proceed as follows:
After your search, select yes in the filter Is part of the Bibliography to the left of the results. If you would like to differentiate further, you can filter by specific document types such as scientific article, part of a book or book (monograph), also to the left of the search results.
Here you can access all references to the titles of the university bibliography. - How can I access the full texts of the university bibliography?

If legally possible, we add the corresponding full texts to the entries of the University bibliography. Otherwise, access to the respective title is facilitated by URLs and DOIs in the respective entry. If the document is marked as open access, you will find the full text via the link given in the respective entry. But even otherwise, you might have a chance of accessing a full text via the link: You can access a number of publications if you are a member of the university by accessing the publication the WHZ network (at the university or via VPN); such publications are published in journals that we have licensed.
- Which sources are used to compile the university bibliography?

The metadata of the publications are checked by the LIBDOC team before the publications are included in the university bibliography. The university bibliography strives for completeness within the scope of its criteria. - Sharing and editing of full texts on LIBDOC

If the full text of a document has been uploaded to LIBDOC, you may access and download it.
For publications that are published via LIBDOC, the CC license that the author has assigned to his publication must be observed. With the CC license, the author not only allows you to use their work, but also to redistribute and reproduce it under certain conditions. An overview with links to further information on the individual licenses can be found here.
Apart from the works published in LIBDOC, we do not upload full texts to the university bibliography. We ask you to observe the applicable copyright law. -
The declaration of consent that will be sent to you to sign before your thesis or publication is published reads as follows:
"Ich überlasse der Hochschulbibliothek der Westsächsischen Hochschule Zwickau (nachfolgend WHZ) das/die benannte/n Dokument/e, nachfolgend Online-Publikationen genannt, zur Veröffentlichung auf dem Publikationsserver der Hochschule und erkläre Folgendes:
1. Einräumung eines einfachen Nutzungsrechts
Ich räume der WHZ das einfache, nicht ausschließliche Nutzungsrecht ohne Benutzungspflicht ein, meine o. g. Online-Publikation(en) im Volltext dauerhaft zu archivieren, zu pflegen sowie öffentlich auf dem Publikationsserver der WHZ zur Benutzung im Internet bereitzustellen. Mir bleibt es unbenommen, über mein Werk auch anderweitig zu verfügen, solange damit keine Einschränkung der der Hochschulbibliothek eingeräumten Rechte verbunden sind. Da die Hochschulbibliothek mit der Veröffentlichung meines Werkes keine wirtschaftlichen Interessen verfolgt, erhalte ich keine Vergütung.
2. Rechteinhaberschaft
Ich versichere, dass die o. g. Online-Publikation(en) nicht gegen gesetzliche Vorschriften verstoßen und frei von Rechten Dritter ist/sind. Insbesondere versichere ich, dass ich der alleinige Rechteinhaber bin oder über alle erforderlichen Nutzungsrechte verfüge. Bei Herausgeberwerken oder anderen gemeinschaftlichen Werken habe ich die Zustimmung aller beteiligten Autoren/Urheber eingeholt. Ich bin verantwortlich für den Inhalt der zu veröffentlichenden Dokumente bzw. Lehrmaterialien. Ich stelle die Hochschulbibliothek von allen Ansprüchen frei, die Dritte ggf. auf Grund ihnen zustehender Rechte gegen sie erheben. Die Hochschulbibliothek behält sich vor, den Zugriff auf die Online-Publikation/en zu sperren, wenn berechtigte Gründe für eine Verletzung von Rechten Dritter bestehen.
3. Erschließung durch Metadaten
Ich bin damit einverstanden, dass die in der o. g. Online-Publikation(en) und in den Metadaten ggf. vorhandenen persönlichen Daten öffentlich zugänglich gemacht werden und versichere, dass Persönlichkeitsrechte mit der Veröffentlichung nicht verletzt werden. Ich versichere, dass die Betroffenen durch ggf. im Volltext benannte personenbezogene Daten (z. B. Namen etc.) mit der Veröffentlichung einverstanden sind. Das entsprechende Einverständnis ist auf Verlangen der WHZ schriftlich nachzuweisen Die Hochschulbibliothek erhält Erlaubnis, die von mir gelieferten Metadaten gegebenenfalls zu ändern und/oder zu vervollständigen.
4. Zustimmung zur Konvertierung
Die Hochschulbibliothek ist berechtigt, die Online-Publikation(en) gleich welcher Art zur Erfüllung ihrer Archivierungsaufgabe bei Bedarf in ein technisch anderes Datenformat zu konvertieren. Mir ist bekannt, dass die Hochschulbibliothek nicht für bei Konvertierungen entstandene mögliche Veränderungen oder Schäden haftet.
5. Weitergabe der Rechte
Ich gestatte es der Hochschulbibliothek, die Online-Publikation(en) einschließlich der zugehörigen Metadaten an die Deutsche Nationalbibliothek sowie weitere fachlich oder regional in Frage kommende Dokumentenserver mit den gleichen vorgenannten Rechten weiterzugeben.
Ich versichere, dass meine Angaben richtig sind und die o. g. Online-Publikation(en) mit der ablieferungspflichtigen Druckausgabe (entsprechend Prüfungsordnung) inhaltlich übereinstimmt bzw. der genehmigten/abgelieferten Fassung entspricht. Die Datenschutzhinweise habe ich zur Kenntnis genommen." - Contact Us
